🚗 Commuting Daily to Matches
For those players who live outside of the Macon/Middle Georgia and choose to commute , please allow plenty of extra time. There is highway construction and congestion that often causes severe backups and delays.
Once draws are posted, be sure to check your match times and location. The point penalty system will be enforced for any players arriving late to matches. No exceptions.

Staying ahead of the heat starts with smart habits. Even if it’s cloudy, staying hydrated is essential — the sun doesn’t have to be out for players to lose fluids. Before you dive into the details below, keep these hydration basics in mind to help you feel strong, focused, and ready for every match.
• Hydrate Before Play — encouraging players to start drinking water well before arriving at the courts
• Hydrate During Matches — steady sips on changeovers, not waiting until they feel thirsty
• Hydrate After Play — refueling to stay ready for the next round
• Heat Awareness — reminding players that sun + long match days = higher risk of cramping and fatigue
⏳ Alternates
If you’re listed as an alternate, please review the on‑site alternate procedures posted on the USTA tournament website. If a main‑draw player withdraws, we will contact alternates in the order shown on the USTA website using the email and phone number on your USTA profile .
You’ll have a deadline to accept or decline . If we don’t hear from you by that deadline, we will move to the next alternate on the list.
↩️ Withdrawals
• If you are withdrawing before registration closes, you will not be charged.
• If you are withdrawing after registration closes but before play starts, you will be charged and there are no refunds.
• If you are withdrawing from your match, email the Tournament Director ( TD@myadllc.com ). • All players must include a reason for withdrawing.
• If you are needing to withdraw from your next day's match, please do so by 7:00 pm the night before so your opponent will know in a timely manner.
⏰ Late Entries
• If you miss the deadline, you can email TD@myadllc.com and request to be added as a late entry if there are openings. If no openings, you will be placed on the alternates list behind all timely alternates. A late entry fee of $25 will be added.
• Late entries will accepted in order of the timestamp on the email until Friday, May 29 @ 12 PM EDT. • Please do not call if you miss the registration deadline, email only. • This date is firm and will not be extended.
• Late entry emails will not be answered until selections are made. Since players are allowed to enter two divisions, I will not know how many, if any, openings there will be until selections are made.
Inviting a Doubles Partner/Accepting a Doubles Partner

🤝 Doubles Players
If you plan to play doubles and you are not showing as paired on the USTA website:
Both players must email TD@myadllc.com by the doubles deadline listed on the USTA tournament website. Players will be moved to selected after the doubles deadline passes.
🚨 Doubles Teams Appearing on Player List
Please note the doubles paired/unpaired/selected list will not be finalized until the doubles deadline passes. Until then, you will see your partnership under the selected or alternate headings. Please do not worry - all teams will be moved to selected before seeding is completed. We will provide updates after the deadline passes. (Deadline can be found in the timeline above.)
Also, any unpaired player who has not communicated his/her doubles partner or requested random pairing by the published deadline will be withdrawn from doubles. You will receive an automatic notice once this happens.

📜 Tournament Facility Rules
The tournament has expectations for conduct on its grounds for all players and spectators.
• No Smoking anywhere on the premises. Premises includes parking lots, bathrooms, and anywhere within 30 feet of a tennis court.
• Pets must be leashed and under the owner's control at all times and are not allowed inside buildings. Pets must not interfere with match play, other pets, or players/spectators. Owners not complying with these guidelines will be asked to remove their pet from the facility.
• No minors inside facilities without adult supervision. No running, jumping, yelling, bouncing of balls, or other horseplay allowed inside or immediately outside clubhouses. This includes the balcony area. • Failure to respect the indoor seating areas will result in the closure of those spaces to all players and spectators.
👕 Tournament Dress Code
Appropriate attire is required at all tournament facilities.
• Any T-shirts worn must be plain or tennis related
• No underwear should be visible above the waistband or below the hemline
• Shirts must be worn at all times
• Shorts must be worn appropriately above pelvic bones
• Sleeveless shirts are acceptable if made that way - no cutoffs
• Compression shorts must be fully covered with a skirt or dress. Also known as "shorties" or "booty shorts" are not allowed to be worn without being covered

We will be using Match Tennis App’s Virtual Tournament Desk technology. Please add your exact accommodations. This information is very important to us and helps secure funding from our city, county, and hotel association which is passed on to you in the form of favors and officials. We do not use your personal data when reporting - your room nights are simply calculated and a total number is reported.
• If you live in Middle Georgia, then you are considered "Local."
• If you live outside of Middle Georgia, and are driving from your home EACH day for the tournament, you are considered a "Commuter." Examples are Locust Grove, Warner Robins, metro Atlanta citiies.
• If you are staying with "Family" or "Friends," please state that as your "Hotel."

There will be a stringer onsite during the tournament. Payment is completed through the Pro Shop via credit card only (no tap to pay). If you require a particular type/brand of strings, please bring them with you.
⛑️ Trainer
Trainer will be on-site beginning 30 minutes prior to the first match of the day.
• Please note: • The trainer has a lot of ground to cover with on-court issues and many people to see off the court. They are not there to give massages due to limited time and lack of privacy; but, they will advise you on various techniques you or your parents can do.
• There is a science to applying Kinesiology Tape (KT) due to a specific diagnosis. The trainer will not apply this type tape. If you require this type tape due to a pre-existing injury, please learn how to tape before the tournament.

☑️ Reporting to Court & Match Check-in
• For the first match of the day, we will do what we call a “Shot Gun” start. We expect you to be ready to play 15 minutes before your match time. We will call you to court 15 minutes before your match time and your match will start promptly at the stated time on the draw.
• Please do not be a poor sport and wait until the last minute to go to court; sometimes this backfires and you end up being late for your match, which results in a penalty. people from congregating at the desk.
• We will be using Match Tennis App for players to check in for matches. You should be ready for your match 15 minutes before the stated time and awaiting a text message.
• You will receive court assignments via text message and should proceed directly to the court. The officials will have balls on the court.
📲 Score Reporting Policy
Accurate score reporting is essential to fair ratings, and we appreciate the effort and honesty players bring to this process. We work hard to record scores correctly, but our accuracy depends on the winner’s score entry in Match Tennis App . Players often finish long, competitive matches and genuinely struggle to recall every detail later — which is exactly why immediate reporting matters.
Below is our official score‑reporting procedure:
Winner Responsibilities
• Both players must report the score in Match Tennis App immediately after the match. Players may not be delayed by parents, coaches, or any other reason.
• Officials record the match completion time. From that moment, the winner has 5–10 minutes to enter the score. • ailure to report on time may result in Suspension Points for not following official instructions.
• If an official does not call in the completion time, and the loser has already reported the score, the winner then has 5 minutes to enter their score. Again, late reporting may result in Suspension Points.
Parents & Coaches: Please instruct your player — winner or loser — to report the score immediately after the match. Do not delay this process.
Loser Responsibilities
• The loser may confirm the score in Match Tennis App.
• If the players disagree on the score, they must come to the tournament desk to resolve it. If they cannot reach agreement, the Referee will assist.
After Scores Are Entered
• Once a score is entered online, the loser may email the tournament if they believe it is incorrect. We will review Match Tennis App and rely on the winner’s reported score . For chaired matches, we use the official scorecard .
• Scores will not be changed after entry unless the winner reports a correction that is favorable to the loser .
• If the loser confirmed the score with the winner immediately after the match, the winner cannot later change the score in their own favor.
• Repeated issues with inaccurate reporting by a winner may be treated as Unsportsmanlike Conduct and may result in Suspension Points.
No Delayed Score Reconstruction
We will not “track down games” hours or days later. Too much time has passed for reliable recall. If the score matters to you — and it should — enter it immediately after the match.
Final Notes
Parents, coaches, and players: please respect this process. With today’s rating system, every game matters , and accurate reporting protects the integrity of the competition. Score reporting has become a frequent source of conflict, and we are committed to making it a simple, routine part of match play — just like determining who serves first.
Winners: Do not be offended if your opponent asks to confirm the score. They are simply making sure their hard work is recorded correctly.
Play in all matches is governed by Friend at Court , the USTA Code; USTA Southern Rules; USTA Southern Tournament Regulations, with the current USTA Point Penalty System in effect for all matches.
Level 4 Flighted Draws:
All USTA Southern Level 4 non-team events will Select 64 Players and flight into 4 – 16 Draws. Please see the document for information about Flighted Draws.

USTA Southern 2027 Doubles Format Change:
Starting in January 2027, USTA Southern L3 - L5 Tournaments will play no-ad scoring in Doubles.
SIGNING UP FOR TWO DIVISIONS:
Players may register for two age divisions in Level 3 Closed, Level 4 Open/Closed tournaments. Players that do register for both divisions will automatically be selected in the older division if they are selected for both. Players not selected to either division will remain on both alternate lists for both divisions but will need to play the division they first get into from the alternate lists. They will be removed from the Alternate list in the other division. Once a player is selected for any one division, NO CHANGES CAN BE MADE.
YOU MUST PLAY THE SAME AGE DIVISION FOR SINGLES AND DOUBLES:
Per STA rules for all National Level 3-5's, you must play the same doubles division as your chosen singles division.

IMPORTANT NOTICE TO ALL PLAYERS RE: CONCURRENT TOURNAMENTS
USTA Regulations state the following:
• Player shall not enter two tournaments at same time. When entries close, a player shall not be entered in two or more sanctioned tournaments, if any part of the tournaments overlap unless each Tournament Committee involved understands the situation and concurs in writing. After a player has been eliminated from a tournament whose schedule of play partially overlaps with that of a second tournament, the player may enter the second tournament.
(USTA REGULATIONS IV.C. (Standards of Conduct), 2025 Friend at Court, #s 12 through #17 apply).
Penalty: (4) Suspension points to player in violation per offense, enforced by either Tournament Committee, and/or USTA Administration.
SPORTSMANSHIP & THE USTA PLAYER OATH:
All participants shall familiarize themselves with The Code which is meant to be a guide to fair play. By participating in the tournament, all players agree to abide by the USTA Player Oath: "I recognize that tennis is a sport that places the responsibility for fair play on me. I promise to abide by the rules of the game, which require me to give the benefit of the doubt to my opponent. At all times I shall strive to compete with the true spirit of sportsmanship, recognizing that my behavior on the court is a direct reflection of my character. Whether my matches end with my victory or defeat, I promise to conduct myself in a way that honors my opponents, those who support me, and the game of tennis."
SAFE PLAY INFORMATION FOR PLAYERS & COACHES:
Please be advised that if you plan to bring your coach with you, he/she SHOULD be Safe Play Approved through the end of the Tournament. This includes completing SafeSport training, acknowledging the USTA Safe Play Policy which includes reporting requirements, and a criminal background check. You can check if your coach is Safe Play Approved by visiting: https://www.usta.com/en/home/safe-play/search-for-a-tennis-provider.html. If they are not Safe Play Approved, please ensure they complete the process ASAP by visiting www.usta.com/safeplay and selecting “Get Approved.” PLEASE NOTE: SAFESPORT TRAINING IS 90 MINUTES LONG AND FULL APPROVAL CAN TAKE UP TO 5 DAYS.
