🚫 Default No-Show Policy
Players must compete in all assigned matches. Failure to notify the Tournament Director via email will result in:

🔁 Withdrawal & Refund Information
• If you are withdrawing before registration closes, you will not be charged.
• If you are withdrawing after registration closes but before play starts, you will be charged and there are no refunds.
• If you are withdrawing from your match, email the Tournament Director ( TD@myadllc.com ).
• If you are needing to withdraw from your next day's match, please do so by 7:00 pm the night before so your opponent will know in a timely manner.
📋 On-Site Alternate Procedures
Any player on the Alternate list who would like to be an on-site alternate must sign in with the tournament referee at least 30 minutes prior to the first scheduled singles match on Saturday. The highest ranked player on the Alternate list who is signed in will replace any player who does not arrive on time.

All players and spectators are expected to follow these guidelines while on tournament grounds:
• 🚭 No Smoking Smoking is prohibited anywhere on the premises—including parking lots, bathrooms, and within 30 feet of any tennis court .
• 🐾 Pet Policy Pets must be leashed and under control at all times . • No pets allowed inside buildings.
• Pets must not interfere with match play, other pets, or spectators.
• Non-compliance may result in removal from the facility.
• 👨‍👩‍👧 Minors & Indoor Conduct • Minors must be supervised by an adult inside all facilities.
• No running, jumping, yelling, ball bouncing, or horseplay inside clubhouses.
• Disrespecting indoor seating areas may result in closure of those spaces to all players and spectators.
👕 Tournament Dress Code
Players must wear appropriate tennis attire at all tournament facilities:
• 👕 T-shirts must be plain or tennis-related
• 🚫 No visible underwear above waistband or below hemline
• 👚 Shirts must be worn at all times • Crop tops and sports bras cannot be worn as outerwear
• 🩳 Shorts must be worn above the pelvic bones
• 💪 Sleeveless shirts are allowed only if manufactured that way (no cutoffs)
• 🩱 Compression shorts must be fully covered by a skirt or dress • “Shorties” or “booty shorts” must not be worn uncovered
• 👗 Skirts and shorts must be worn appropriately above the pelvic bones

All participants—including players , parents , coaches , officials , and tournament organizers —are expected to uphold the highest standards of:

🕒 Reporting to Court & Match Check-in
⏰ First Match of the Day – “Shotgun Start” All players scheduled for the first match of the day must be ready to play 15 minutes before their match time . We will call players to their courts 15 minutes prior, and matches will begin promptly at the time listed on the draw .
🚫 Don’t Delay at the Desk Please do not wait until the last minute to head to your court. This often backfires and can result in a late penalty . Avoid crowding the tournament desk—be proactive and respectful of everyone’s time.
📱 Match Check-In via Match Tennis App We will be using the Match Tennis App for match check-in.
• Be ready 15 minutes before your scheduled match time .
• You’ll receive a text message with your court assignment .
• Proceed directly to your assigned court —officials will have balls waiting for you.
📝 Reporting Scores -- Read This!
Accurate score reporting is critical to the rating system , and we take it seriously. While we know players aren’t intentionally reporting scores incorrectly, memory lapses—especially after long matches—can lead to errors. Here's how we’ll handle score reporting:
✅ IMMEDIATE SCORE ENTRY REQUIRED
• Both players must report the score in Match Tennis App immediately after the match. No delays due to coaches, parents, or other distractions.
• Officials will call in the match completion time. The winner has 5–10 minutes from that time to enter the score. Failure to report promptly may result in Suspension Points .
• If the official does not call in the match time and the loser reports first , the winner has 5 minutes to enter the score. Again, late reporting may result in Suspension Points .
• Parents & Coaches: Instruct your player— win or lose —to report the score immediately . ⛔ Do not delay this process!
🔁 CONFIRMATION & DISPUTES
• The loser can confirm the score in Match Tennis App.
• If there’s a discrepancy: • Both players must report to the tournament desk.
• If no agreement is reached, the Referee will assist .
• Once a score is entered online: • The loser may email the tournament to question it.
• We will refer to the score reported by the winner in the app.
• For chaired matches, we use the official scorecard .
🚫 SCORE CHANGES & CONDUCT
• Scores will not be changed unless the winner reports a correction that benefits the loser.
• If the loser confirmed the score immediately after the match, the winner cannot later change it in their own favor.
• Repeated issues with score reporting may result in Unsportsmanlike Conduct penalties.
• We will not track down scores hours or days later. If it matters to you, report it immediately .
🙏 RESPECT THE PROCESS
Score reporting has become a contentious issue , leading to frustration and unnecessary conflict. Let’s make it a normal part of the game , just like deciding who serves.
Winners: Don’t be offended if your opponent wants to confirm the score. 🎯 Every game matters—and they just want credit for their hard work.
Play in all matches is governed by Friend at Court , the USTA Code; USTA Southern Rules; USTA Southern Tournament Regulations, with the current USTA Point Penalty System in effect for all matches.

USTA Southern 2027 Doubles Format Change:
Starting in January 2027, USTA Southern L3 - L5 Tournaments will play no-ad scoring in Doubles.
SIGNING UP FOR TWO DIVISIONS:
Players may register for two age divisions in Level 3 Closed, Level 4 Open/Closed tournaments. Players that do register for both divisions will automatically be selected in the older division if they are selected for both. Players not selected to either division will remain on both alternate lists for both divisions but will need to play the division they first get into from the alternate lists. They will be removed from the Alternate list in the other division. Once a player is selected for any one division, NO CHANGES CAN BE MADE.
YOU MUST PLAY THE SAME AGE DIVISION FOR SINGLES AND DOUBLES:
Per STA rules for all National Level 3-5's, you must play the same doubles division as your chosen singles division.

IMPORTANT NOTICE TO ALL PLAYERS RE: CONCURRENT TOURNAMENTS
USTA Regulations state the following:
• Player shall not enter two tournaments at same time. When entries close, a player shall not be entered in two or more sanctioned tournaments, if any part of the tournaments overlap unless each Tournament Committee involved understands the situation and concurs in writing. After a player has been eliminated from a tournament whose schedule of play partially overlaps with that of a second tournament, the player may enter the second tournament.
(USTA REGULATIONS IV.C. (Standards of Conduct), 2025 Friend at Court, #s 12 through #17 apply).
Penalty: (4) Suspension points to player in violation per offense, enforced by either Tournament Committee, and/or USTA Administration.
SPORTSMANSHIP & THE USTA PLAYER OATH:
All participants shall familiarize themselves with The Code which is meant to be a guide to fair play. By participating in the tournament, all players agree to abide by the USTA Player Oath: "I recognize that tennis is a sport that places the responsibility for fair play on me. I promise to abide by the rules of the game, which require me to give the benefit of the doubt to my opponent. At all times I shall strive to compete with the true spirit of sportsmanship, recognizing that my behavior on the court is a direct reflection of my character. Whether my matches end with my victory or defeat, I promise to conduct myself in a way that honors my opponents, those who support me, and the game of tennis."
SAFE PLAY INFORMATION FOR PLAYERS & COACHES:
Please be advised that if you plan to bring your coach with you, he/she SHOULD be Safe Play Approved through the end of the Tournament. This includes completing SafeSport training, acknowledging the USTA Safe Play Policy which includes reporting requirements, and a criminal background check. You can check if your coach is Safe Play Approved by visiting: https://www.usta.com/en/home/safe-play/search-for-a-tennis-provider.html.
